Scan and organize information with document management software

Companies today are dealing with more paperwork than ever before, and many have turned to document management software to deal with the issues that come with information overload.

A recent report from Planet Services identified several key areas of document management, including the organizational and efficiency benefits that come from scanning paper documents. That's because electronic documents can be more easily searched than paper, cutting down on the time employees spend completing the process.

"Each scanned or electronic document should be accompanied by a user-definable template that provides valuable information such as document type, document name, description, date created, reference number, version, owner and any related documents," the report stated.

Planet Services also pointed out the importance of determining the most crucial documents produced by an organization and leveraging audit trails for compliance and other internal purposes.

Some of these benefits were recently demonstrated by real estate manager Braamcor Management Services, according to an ITweb report. The company leveraged document management to handle all of its paperwork, including lease agreements, contracts and work order forms. As a result, the report stated, employees have never been more efficient in completing their work.
